Established in 1971, this impressive sports complex offers its members 20 tennis courts as well as a sports center of more than 10,000 square feet located just minutes from downtown Montreal and the South Shore. You would find a team of passionate professionals entirely devoted to its members.

 

Reporting to the Chief Accountant and the Administration Director, the Administrative Assistant will be responsible for overseeing the operational efficiency and administrative support of the club. Working in the heart of a dynamic sports environment, this individual will actively contribute to the overall success of the organization. Responsibilities include administrative management, human resources and payroll, financial monitoring, as well as communication with members, suppliers, and partners. By playing a central role in coordinating activities, the Administrative Assistant is committed to ensuring operational excellence and meeting the expectations of stakeholders.

 

Tasks and Responsibilities:

  • Ensure the efficient coordination of the club's daily administrative activities.
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Collaborate with the Administration Director in responding to requests from the General Management in the scope of their functions.
  • Work with the Chief Accountant and Administration Director to verify, account for, and transmit the hours worked by all employees.
  • Collaborate on the administrative management of employee movements, including subscription management and active/inactive status tracking.
  • Support the Administration Director in managing employee work schedules, leaves, and absences.
  • Assist the Administration Director in enrolling new employees in the Employee Tennis program and manage subscriptions in case of file closure.
  • Collaborate with the Chief Accountant and Administration Director for invoice management.
  • Collaborate with the Administration Director for accounts receivable collection.
  • Collaborate with the Administration Director to ensure daily balancing of cash closures at the reception.
  • Handle and monitor purchases.
  • Establish and maintain professional relationships with club members, suppliers, and partners.
  • Provide excellent administrative service by answering questions and providing relevant information.
  • Any other related tasks.

 

Required Qualifications:

  • College diploma in administration is an asset.
  • One to two years of experience in a similar position.
  • Ability to work in a team.
  • Administrative organizational skills.
  • Advanced knowledge of computer applications.
  • Ability to work collaboratively.

 

Languages: Bilingualism (French and English) is required for this position, as we serve an international clientele.
